Introduction
Your Impact:
As a part time Volunteer Coordinator, you will play a key role:
- Performing day to day administrative duties relating to volunteers and volunteer activities within the people department.
- Collaborating with other members of the team, you will keep track of volunteer records such as hours works, onboarding requirements, vacancies
- You will be supervising and ensuring the safety of groups up to 20 volunteers throughout the day as they perform tasks in the Canning Vale Warehouse
- Collaborating with other members of the team; Volunteer Program Lead, warehouse managers, resource recovery coordinators
- You will keep track and report to Volunteer Program Lead tasks such as working hours, tasks, group size and other pertinent information.
- You will be highly organised and confident around large groups.
- You will be able to problem solve and work with others
Description
What you'll do:
Volunteer Administration & Coordination
- Organise, compile, and maintain volunteer personnel records and documentation.
- Track working hours, group size, tasks completed, and key engagement metrics.
- Respond to queries from existing and prospective volunteers.
- Assist the Volunteer Program Lead with volunteer recruitment, including processing applications and Expressions of Interest (EOIs).
- Maintain databases relating to mandatory screenings, inductions, training, and onboarding.
- Prepare monthly and ad hoc reports, volunteer data, and internal presentations.
Group Engagement & Site Tours

Skills And Experiences
What you'll bring:
- Some previous working experience in an administration focused role
- Excellent communication, coordination and time-management skills
- Ability to effectively use computer software including Microsoft Outlook, Word, Excel
- High level of written and verbal communication skills
- Strong interpersonal skills and the ability to maintain positive customer (internal and external) relations.
- Able to work as part of a team.
- Able to plan and execute work to meet deadlines
- Able to remain flexible, calm under pressure, and responsive to changes in group dynamics or logistics.
- Comfortable working with large groups and resolving issues in a dynamic environment
